What is the best and easiest way to inventory small jewelry items?

I’m really perplexed on the best way to inventory and organize my jewelry items, so far I haven’t come up with a system that seems to work well for me and I’m hoping that my bonanza friends can help me with some suggestions on what they do and maybe it can make my life a little easier. Thanks!

looks like we are all doing similar things.
I number each piece J01, J02 etc put them each in a mini ziploc bag and sort them in mini drawer organizers by type ie one drawer for bracelets, one for earrings, one for brooches etc.
I get the mini ziploc bags from the dollar store. I purchased wooden mini drawer organizers from Ikea in the office supply section, But shoe boxes would work just as well.

I also keep a log book of the numbers with a short title so when I sell something I just take a highlighter and strike it out, so at a glance I instantly know what I have left in inventory.

You could get very specific with inventory numbers like JB = jewelry brooch or JE = Jewelry earrings — depends on how much inventory you need to keep track of.

I store all my jewelry in individual zip top bags and then sort by type (pendant, bracelet, earrings) and gemstone, all of which then go into larger zip top bags. Say for instance I sell a pair of Moldavite earrings. I would grab my Moldavite bag and then grab my earrings bag within it. Most of my jewelry are also fastened to cards which allows me to label them on the back, in pencil of course. I hope this was helpful!

What about numbering them as

Bracelets = B B01, B02, B03 and so on
Earrings = E E01, E02, E03 and so on
Necklaces = N N01, N02, N03 and so on
Pins = P P01, P02, P03 and so on

Use the first letter and whatever number system you are using.
Also include this number in your Heading and body of your listing.

I group them by the letters and put them in separate boxes or bins or drawers.

? just my thought? I have some of the same type of stones that I do this with.

I simply put all of my bracelets together, all of my earrings together etc. My earrings are usually sorted by theme, like angel earrings are in the same zip lock bag.

I don’t use an inventory sheet as it’s to time consuming.

I use clear plastic cases and shoe boxes to sort my jewelry item into.

they are sorted by type and each is in a ziploc baggie with label

like items are bagged into larger bags and my plastic shoe boxes are labeled as to what items they contain.

it works well for me so far

my wire wrapped pendants are in individule baggies with no tarnish tabs and sorted by wire type into flat cases you can get at any craft store

classifications that frequently requires a ton of defense, especially assuming you’re putting resources into costly pieces. Jewels, gemstones, and valuable metals come at a genuine expense, and, for most, going overboard on a popular style isn’t really doable or even useful all the time. I keep on changing it. I do it buy designer or by country, in drawers but so they don’t get damaged I have them in glass cases. We put all our items in Kyozou which has helped a lot if we get duplicate items. We put ones that are not designer silver ring trays,earring padded so they stay together with backs – earrings are the easiest to lose – the necklaces bracelets other go by metal sterling silver or gold with and without stones. Kyozou is an inventory management system that works well when you grow. They do not list with Kyozou but you can transfer items with CSV excel files which we don’t do but it is supposed to be easier. If you get items over again or similar ones all the pictures aer saved and there is a place to put internal notes and folders, so you can catalog damamged items.
Remember in 2011 that Paypal, Google Checkout and credit card companies will giving us all 1099k which will show our gross if we sell over 20,000 gross in a year – so it will be important to calculate cost etc more than ever if you have going under the radar…that will change.

We put in Kyozou and can run reports and it is useful at tax time. Otherwise it will count all as income, similar to interest. You have reconcile returns etc. HUGE pain, and deductions like fees, paypal and google checkout so make sure to get organized for 2011. I like shoeboxed.com for receipts they scan them and keep them so you don’t have all this paper and you can forward email receipts to them and they keep. Of course none of this is free but it is deductible if you make a profit.

This is wht Main St wanted since the brick and mortar stores lost so much money and the only bright spot in the economy last year was internet sales so everyone noticed. Bad times make people focus on these things. Next,they want us to also charge sales tax for all states which would be a nightmare so write you Congressman. Can understand their other issues but that one would put us all out of business! Can you imagine that!

If you keep things so they don’t scratch it is best. With kyozou you acn put in item number or scan them. We are not big enough to do that yet but they have a product number and you can put in separate photos.

For a home business that does not need real inventory management, you should make sure you have some category that makes sense to you so the items are not damaged or scratched and don’t lose earring backs. It now costs over $100 to replace 18k gold earring backs wholesale! Take pictures right away so that you can put the items away and be done with it. We don’t always do this, but in an ideal scenario you would have less items to move around. Moving items around too much creates confusion. Hope this helps. It is a moving target sometimes, if you grow, get some kind of inventory management system. Kyozou works with ebay, amazon and overstock right now…hopefully eventually Bonanza too but it does have the capability for a workaround and you can print labels right from it at better discounts than Paypal and USPS.

In Paradisegifts land we just use Numbered envelopes with a real simple DB on the computer. Print the sheet know whats there. Sold not a problem search the number strike put the selling price in the DB calculates direct Gross Profit and it is done.

I give each piece its own name, then put them in alphabetical order. and keep them stored in a zip lock plastic bag ready to ship. When one sells I look it up by its name, go to that area of the alphabet, pull it, pack it and ship it. Simple and fast. Plus makes the item more personal with its own name to it. Before I had my mall I did assign inventory numbers to everything and kept my records in a spreadsheet. Made it really easy to inter sold dates and doing so gave me a search criteria to use in documenting everything come tax time. I had the purchase date, listing date, sold date or just sitting in inventory.

Now that I have the mall I have mall software and trust me, if I ever close up shop I will continue to use the mallware!

As for storing, I love those art foam sheets. I pick the right color for the item, if its a brooch I use a hole punch to punch hole and fasten to brooch to this. This is my background for photographing the piece and storing. Stick the ID and price label to the foam and stack them up!

i just number them and use the ups shipping labels or the regular address labels and put them the 2″×3″ zip bags. (if you need any contact me i buy them in BULK)
so for me

step 1:
print out lots of #’s on a sticker sheet (ups labels, addy labels)ups gives some for free from their site.

print out a blank but set up spread sheet of the “values” i want like #, description, $, sites you have listed on, sale date etc.

step 5:
this is where i take a break from creating and type it all up in the prepared spreadsheet and there i have it my complete inventory. i always leave an extra 25+ spaces at the end of my lists to add more so i alwasys know where i left off at.
